What usually blocks Gemini adoption

Features switched off in the Admin console. Gemini features, Workspace Studio and the Gemini app are controlled by service, organisational unit and group. Studio follows your release preference for new products, so it may never have been turned on.
Agent settings set too tight. Admins can disable Gemini data access in Studio, block step types and webhooks, and require confirmation before a flow shares data externally. They're good controls, but set carelessly they quietly stop the useful automations.
Permissions still matter. Studio can only reach what the person running it can access. Messy Drive sharing produces messy answers.
Usage limits. Gemini reports show who is hitting their usage limit. Your most enthusiastic people can be the ones running out.
Personal accounts. When a feature is blocked at work, people can drift to a personal account, outside your controls.
Nobody owns the Gems. Useful Gems stay personal unless someone curates and shares them.

How to measure it

The Admin console's Gemini reports (Menu › Generative AI › Gemini reports) show organisation- and user-level usage over the past 28 days: active users, adoption by app, usage levels and days at the usage limit. Allow two to three days for new data to appear, and use the Reporting API for audit logs. These reports count activity. They can't tell you whether an email was better, whether a flow saved rework, or whether a team trusts the output.

We baseline each target workflow first (time, rework and a quality check), then measure again after the change. Google's reports show where Gemini is used. Our measurement shows where it pays back.

We have Gemini through Workspace. Why isn't anyone using it?

Availability isn't adoption. Teams use it when it's built into a specific workflow, with their own context, a clear checkpoint, and someone who's shown them on their own work.

Gemini or Copilot: which should a UK company choose?

Whichever suite you already live in. The gain comes from workflow integration, not model choice. Switching suites for AI alone is rarely justified.

Can Gemini be rolled out safely with our data?

Yes, with Workspace's enterprise data protections. But "safely" is mostly about design: which data each use touches, and where a person reviews.
